1. Introduction

Vyncos is a product of Elitestack Technologies(“Elitestack”, “we” or “us”). This policy explains how we collect, use and protect personal information about:

• companies that subscribe to or license Vyncos, and their users (“customers”);
• people whose details our customers record in Vyncos, such as their clients, employees and suppliers;
• visitors to this website and anyone who contacts us, requests a demo or subscribes to our updates.

If we make a significant change to this policy, we will tell customers before it takes effect and update the date above.

2. Our values

• Your information belongs to you. We collect only what we need to provide the service, and we do not sell it.
• We protect your information from others. Each customer's data is held in its own isolated database schema, and access is role-based and audit-logged.
• We help you meet your own obligations. Vyncos gives customers the controls they need to handle the personal data they hold responsibly.

3. What we collect

• Website and enquiries: name, company, work email, phone number and anything you write in a demo request, enquiry or newsletter sign-up.
• Customer accounts: user names, emails, roles and sign-in activity needed to run and secure the account.
• Customer content: the records customers enter into Vyncos, such as projects, quotations, invoices, employees, assets and documents. We process this on the customer's instructions.
• Technical data: device, browser and usage information, collected through cookies and similar technologies (see section 9).

4. Why we process your information

We process personal information to perform our contract with customers, to answer requests you make, and for our legitimate interests: keeping the service secure and preventing fraud, providing support, understanding how the service is used so we can improve it, and telling you about Vyncos where you have asked us to. Where we use automated or machine-learning features, either a person stays involved in the decision or the effect on your privacy is minimal.

5. Your rights

Subject to applicable law, including the UAE Personal Data Protection Law, you may ask to access, correct, delete or receive a copy of your personal information, and to restrict or object to how we process it. We will verify your identity before acting on a request.

Where your information was entered into Vyncos by one of our customers (for example, your employer or a contractor you deal with), that customer controls it and we act as their processor. Please send your request to them; we will support them in answering it.

6. International transfers

Vyncos runs on cloud infrastructure, and some information may be stored or processed outside the country where you are. When that happens we prefer countries with strong data-protection laws and put safeguards in place so your information stays protected.

7. Security

We protect information with encryption in transit, a separate database schema for each customer, role-based access, an append-only audit trail and a second approver on key financial postings. No system is perfectly secure, but we work to keep risk low and will notify affected customers of a breach as the law requires.

8. Data sharing and AI

We do not sell personal information, and we do not share it with third parties or AI models without explicit consent. The AI features in Vyncos are optional, stay off until a customer adds its own AI provider key, and send data only to that provider. We do not use customer data to train AI models.

We use a small number of service providers (hosting, email delivery and, where a customer enables them, WhatsApp and e-invoicing providers) only to deliver the service, under contracts that require them to protect the information.

9. Cookies and tracking

We use cookies and similar technologies on this website and in Vyncos to keep you signed in, remember preferences and understand how the service is used. You can control cookies through your browser settings; blocking some may stop parts of the service working.
